Corporate City Game in Gdansk - Case Study of an Event for ERGO Ubezpieczenia

How to organize a team integration for Tricity residents?
Our first contact about organizing this event was back in February, while the city game itself took place at the end of May. The client was looking for an integration idea for ERGO Ubezpieczenia employees who live in the Tricity area on a daily basis. This meant we could not build the event around the formula of out-of-town visitors sightseeing the city. We needed a scenario that would show participants familiar places from a completely new perspective.
Together we decided on the "Hevelius Treasure" city game, which for years has let participants discover Gdansk through puzzles, team tasks and competitive elements.
From the very first conversations we also agreed that we cared not just about the game itself but also about an attractive finale that would let participants calmly wrap up the event and spend time together after the competition ended.

Organizational challenge
Initially we expected as many as nine teams. An additional challenge was the fact that participants were not staying in one hotel, which often makes start-line logistics easier. This time we were dealing with Tricity residents, so the start point had to be prepared directly in the city itself.
With this number of participants we prepared two parallel host teams and a plan to split players into two starting groups. A few days before the event it turned out, however, that some people would not be able to participate, which allowed us to run a single combined start for all teams.
Situations like this are a natural part of corporate event organization, which is why we always prepare backup solutions that keep the event flowing smoothly regardless of the final headcount.
A stylish finale at Piwnica Rajców
From the beginning we knew the finale had to have a special character. Our proposal landed on Piwnica Rajców - a venue that perfectly combines the historic atmosphere of Gdansk with modern gastronomy.
For participants we prepared finger food catering. The menu was split into meat, vegetarian and vegan options so everyone could find something for themselves.
We chose the hall with the characteristic copper vats, whose industrial character and warm lighting created an ideal space for post-game integration.
Prizes prepared by the client
A few days before the event we visited the organizer on the ERGO Ubezpieczenia side to pick up the prizes prepared for the winning teams.
They were elegant jute bags filled with practical gadgets - from sunglasses, through electric fans, to outdoor games and stylish scarves.
Normally we also offer clients our own custom prize sets prepared by our team. This time though, we have no problem admitting that the gifts prepared by ERGO Ubezpieczenia looked really great and fit the character of the event perfectly.

A game with no shortcuts
The start ran very smoothly. After a short introduction the teams set off into the city, and high engagement was visible from the very first minutes.
What surprised us in particular was the level the teams demonstrated. Tasks were solved quickly and effectively, and participants cooperated brilliantly within their groups.
The biggest surprise, however, was that not a single team asked for extra time to finish the game. That is something that rarely happens with city games.
I thought there would be a bit of walking and a few simple puzzles. Instead, after a few minutes you really get drawn into the competition and start working out how to score the next points. A really well-designed game.

Photos, memories and a shared wrap-up
During the game our animators took photos of participants, documenting the most interesting moments of the competition.
After the game ended we turned them into a slideshow displayed on screen at Piwnica Rajców. Over conversations, finger food tasting and locally brewed beer, participants could revisit the highlights of the game.
That is when the best conversations and most memorable moments of the event often happen.

The best part was watching the photos after the game. That is when we finally saw what was happening in the other teams and how many funny situations we had missed.

Does a city game work for Gdansk residents?
We hear this question very often.
The ERGO Ubezpieczenia event shows that the answer is: absolutely yes.
Even though participants live in the Tricity, many of them admitted they discovered places and stories they had not known before. A well-prepared scenario is not about showing people around the city, but about showing it from a new perspective.
What did the client say after the event?
The greatest satisfaction comes when, after the event, the conversation is not about a summary but about the next ideas.
That was the case this time too.
Honestly, we were a bit unsure whether people from the Tricity would still be surprised by anything. Turns out we worried for nothing. People were genuinely engaged and had a great time. Right after the event we were already talking about doing a similar game in other parts of Gdansk - Dolny Wrzeszcz for example. If participants are asking when the next edition is, that is probably the best recommendation.

Why are city games an effective form of team integration?
A city game engages participants far more than traditional integration meetings. It requires cooperation, communication and joint decision-making, while still giving plenty of freedom and fun.
Key benefits:
- team integration through shared activity,
- natural cooperation between employees,
- high level of participant engagement,
- possibility to personalize the scenario,
- a blend of activity, competition and sightseeing,
- an attractive alternative to classic corporate events.
Summary
The "Hevelius Treasure" city game for ERGO Ubezpieczenia showed that even Tricity residents can be effectively surprised and engaged in rediscovering the city.
The combination of an interesting scenario, smooth organization, attractive prizes and an atmospheric finale at Piwnica Rajców created an event that participants still remember today.
